  1. Improve the UX for adding labels, for end users

Labels are displayed to end users in a single flat list. Basic UX guidance suggests that such flat lists work for 7-10 items, not more. Yet some organizations will be applying sophisticated file plans using labels. It is totally possible that general purpose document libraries might require 20, 30 or more labels to be available.

Therefore the UX for labels should be improved, at minimum to allow categories/folders of labels. Or alternatively a UX similar to the Managed Metadata picker could be applied. This would make for a tolerable end user experience in choosing a label to apply from a…

  2. Identify folder container for emails from Content Search result

Let content search show the folder where an email is residing so that we'll know if email is deleted or not, and not have to export it to know the folder container.

  3. Retention Policy All Button

Ran into an issue today where I had been testing out a Teams chat retention policy on one particular test user. I was done testing, so I went into where the user was selected and clicked "clear all" and done. Unfortunately, this defaulted to apply the retention policy to ALL users. We lost data for all 1:1 chats in Teams. I should have been more careful with changes like this, but I missed entirely that the retention policy was now applied to all users after I cleared the selected user. This could have been avoided if there were three main…

  4. Exclude Mailboxes from Security & Compliance Retention Policy Bug

The goal of this retention policy was to retain all exchange data forever for the entire environment with the exception of a few mailboxes. These few mailboxes would not be held forever. To perform this action, I went to the Security & Compliance Center and added a Retention policy under Data Governance. In selecting the locations, I blue checked Exchange and proceeded to select to Exclude recipients, after which point I searched for and selected these mailboxes that I did not want to hold forever. Essentially, all mail data in the environment was to be held except for mail data…

  5. provide a way to check retention tag status from user's mailbox via admin portal and via power shell for retention reporting and monitoring

When corporate user mailboxes are assigned retention policies, administrator should have ways to know if user's folder have personal tag or not, to understand how user protect their data. And a power shell command for checking retention tag on specific folder would be necessary.

  6. No SharePoint UI notification when attempting to delete a site under a retention policy

When attempting to delete a SharePoint site that is currently under a Retention Policy to keep it. There is no notification in the UI that informs the user that the site cannot be deleted, or that its part of a retention policy. (Modern Experience) Attempts to delete a site via PowerShell result in an error message, but the SP UI moves on as though the site were deleted.

  7. Allow disposition reviews to be assigned to Office 365 Groups

It should be possible to assign disposition reviews to Office 365 Groups, so that the membership of the group can change over time and the responsibility for disposition reviews is not dependent on one person.

The product documentation used to state that disposition reviews could be assigned to "individual users, distribution or security groups, or Office 365 groups", but actually if you tried assigning to an Office 365 Group it did not work (failed with an error). The documentation was later updated with a note to say that Office 365 Groups are not supported.

It would be useful to support…

  8. Identify which items have been triggered in Event Based Retention

We need the ability to identify which records in a SharePoint library (containing all records that have a specific category of event based retention label) have previously been triggered by an event, and which ones are still waiting to be triggered by an event. According to the response to a support ticket logged with Microsoft Support, there is currently no way to identify whether a record has been triggered and is counting down its retention duration or not, until the record eventually reaches the end of the countdown and goes to disposition review. Seeing as the records in our SharePoint…

  10. Change deleted items retention tag reprocessing to use the date the item is deleted, not start date of mailbox retention tag.

When a mailbox has a message retention policy to automatically delete items after 365 days, and a deleted item retention policy of 30 days, any message older than 30 days does not stay in the deleted items folder for 30 days, but is permanently deleted. Instead of recalculating the deleted item retention by the start date, recalculate the deleted item retention by the date the item was moved to the deleted items folder, plus 30 days.

  11. Configure available labels at the library/folder level

After publishing a list of labels to SharePoint sites, we should be able to define which labels are available at the library level (or folders).

It would be easier for end users to select a label from a list that make sense with the type of content in a specific library or folder.

  12. Automatic deletion of shared document links for deleted documents

    Hello,

If a user deletes a document, the link for other users doesn't disapear.
Would it be possible to implement a batch that analyzes the deletion of documents and automatically impacts the shared information for other users of the organisation?

I tried with various situation, placing the document in the two different bin and it is necessary to delete the share configuration before the document.
It is very impacting, if you consider that most of user don't think about deleting the share option before deleting a document, and as soon as the document is no more accessible, you have a…

  13. Archive LinkedIn and other social media

Now that Archive third-party data has been added to the Data Goveranance\Import location when will LinkedIn be available?

Interesting that the first two connectors available is for FaceButt and Twitter but not LinkedIn!

  14. Default retention does not appear.

DEFAULT retention tags that appeared in Exchange Online do not appear in Security and Compliance.

We pay for the product for Microsoft to show DEFAULT information and not hide from customers.

    Please correct that.

  15. Problems with retention labels operational logic

    Hi there,

I started reading the documents about retention labels and already disliked two characteristics very, very much - and they will keep people using the old records management method. This is what I understood:

    a) ANY user with edit permissions (contribute) can "unlock" a record and edit a file or its metadata - but there is no permission level to supress such ability. This is the worst scenario, since records are to be unmutable, not versioned.

    b) When a user "unlocks" and then changes a record, it is copied to the "Preservation hold library". This means that, besides something…

  16. Allow Office365 labels to reference external data for retention trigger, e.g. BCS

In SharePoint we can reference an external data source for a retention trigger, using BCS (Business Connectivity Services). This would allow us to trigger a retention event based on some external event such as the date an employee leaves the company. Apparently this is not possible now with Office365 policies/labels, but I think it would be a very useful feature.

  17. Labels need Order By Setting for UI

Currently Labels are grouped by retention period. We have many divisions and departments, each with their own different legal nuances. Therefore, our labels are grouped by division. Having the ability to order labels by Alpha would be very helpful

  18. Show Shared Mailbox archives in the Records Management dashboard

In the Archive section of the dashboard, it currently only shows users who have archives in place. Can we also add shared mailboxes into this same view?

  20. Warning Pop-up when creating automated policies when labels are not published

There should be an informative note in the S&C center, that would pop up when you would want to Auto-Apply labels, simply stating “Please note that you need to have a Label Published to the desired locations, in order for the auto apply to work.

Applying a label automatically that is not published to that specific site is unsupported and leads to unexpected behaviour
